FlowShot CRM

CRM for photographers.
And videographers.

Part of FlowShot’s studio management software for wedding photo and video studios. Take inquiries, send one document with the quote, contract and payment plan, and get it signed online. When the couple books, the project is already in FlowShot with their details. Included on Solo and up.

Inquiries and leads

Every inquiry.
One board.

Your inquiry form.

A form in your studio’s name, with the fields you choose. Share the link or embed it on your website, and new inquiries get an automatic reply, on by default.

A board for your leads.

New, Contacted, Proposal sent, Booked and Lost to start with. Rename the stages to match how you sell. Open leads show how long they have sat in a stage, and once a document is out, the card shows its next step.

A page for each couple.

The date, venue, package and notes in one place. Assign the lead, add a meeting to the team calendar, and see a warning when the date is already full.

Quote, contract and payment plan

Contracts for photographers,
signed online in one link.

Start from your template. The packages and add-ons you picked on the lead from your Presets are already on the quote. Your client opens one link, reads the quote, the contract and the payment plan together, and signs online. You countersign by hand or automatically, and your client downloads the signed PDF.

  • Statuses tell you where it is: Draft, Sent, Opened, Fully signed.
  • An email code can confirm who is signing.
  • A public check page confirms a PDF is an unchanged signed copy.
For two signers

Both partners can sign.

Add a second signer and the document waits for both signatures before it comes back to you to countersign.

Payments

“I’ve paid.”
Confirmed by you.

Your client pays you directly, the way you list in the document, and taps “I’ve paid”. You see “Client says paid”, check your account and press “Confirm payment”.

  • Part payments and a retainer on the payment plan.
  • Reminder emails before a payment is due and after it is late.
  • The project shows what has been paid, so the team does not have to ask.
Your move

One list for today.

CRM Home shows the leads waiting on you and the payments to follow up.

Booked means it’s on the board

A booking becomes
your next project.

When the couple books, FlowShot creates the project for their date: Photo, Video, or a linked Photo and video pair. The client, venue, project type and packages come with it, and you can assign your crew right away.

  • You choose when a lead books: signed and first payment confirmed, signed, or by hand.
  • Change the date or venue on the lead or the project, and the other follows.
  • One client portal holds the documents, the questionnaire and the finished galleries.
On Solo and up

Included in your plan.

Solo, Studio, Pro and Max include the CRM, and so does the 7-day trial. There is no separate CRM subscription.

CRM FAQ

Before the next inquiry comes in.

What is a CRM for photographers and videographers?

It keeps every inquiry, quote, contract and payment for a booking in one place. The FlowShot CRM takes inquiries with your form, sends one document with the quote, contract and payment plan to sign online, and turns a booking into a project.

Is the CRM included in my plan?

Yes on Solo, Studio, Pro and Max, and during the 7-day trial. The Free plan does not include the CRM.

Can my clients sign the contract online?

Yes. Your client opens one link, reads the quote, the contract and the payment plan together, and signs online. You countersign by hand or automatically, and your client downloads the signed PDF.

How do my clients pay me?

Directly, the way you list in the document, such as Zelle or a bank transfer. Your client taps “I’ve paid”, you see “Client says paid” and confirm it, and the signed document and the project show what is left to pay.

Can I put the inquiry form on my website?

Yes. Publish the form, then share its link or copy the embed code into an HTML block on your site. The form resizes itself to fit the page.

Can my team work the leads?

Yes. The owner and co-owners always have the CRM. Anyone else gets it with one switch on their team card, and you can assign a lead to the person who will follow it up.

Which emails does the CRM send?

The emails the booking needs: the reply to a new inquiry, the document to sign, the signed copy, payment receipts and payment reminders. They carry your studio’s name, sent via FlowShot, and replies go to the reply address in your studio profile or to your account email.

I use HoneyBook or Dubsado. Do I have to switch?

No. The Zapier connection still creates a FlowShot project when a HoneyBook project reaches the stage you pick, or a Dubsado project reaches the status you pick. The CRM is there when you want inquiries, contracts and payments in the same place as the production work.
